Check-In and Check-Out Procedures for Retail Events

DJPeoples is dedicated to serving our clients over hundreds of markets on the same day with On-Brand Entertainment.  As you can imagine it takes careful planning and coordination between our team of Event Mangers and DJs to make this happen.  With this many events going on at the same time its physically impossible for each event manager to be at every event.  Although we’re not able to physically be there our clients expect us to keep the utmost quality at each event.  Because of this, DJPeoples has implemented an easy check in process for all of our DJ Staff to stay connected and ensure that every event looks and feels the same and that each of our DJs is looking the part at their event.

Here’s How it Works!

Checking-In!

  1. DJ Arrives at his or her scheduled mall 60-90 Minutes Prior to event start time.
  2. DJ sends a Check-In Text to their Event Coordinator at DJPeoples.  You will have your event coordinators contact information prior to your event dayDJ ESP Check-in 1
  3. DJ begins to load-in and set up their equipment within their store.
  4. DJ performs sound check withing store
  5. DJ Changes into their outfit for the duration of the event
  6. 30 Minutes before the event starts the DJ sends DJPeoples Event Coordinator a Photo of their DJ Equipment, DJ Booth and Speakers, Set-up in the Store.DJ Stretch Check-in 1
  7. DJ then asks Store Employee to take a full body shot of DJ in their outfit.
  8. DJ sends outfit photo to DJPeoples Event Coordinator Athenz Check-in 1
  9. Event coordinator will send back any requests if necessary, such as a wardrobe change or for equipment to be re-configured or wires to be hidden.
  10. DJPeoples Event Coordinator will use these same photos for Social Media Blasts during your event.  Please be sure to retweet these mentions to your followings.

Checking Out

  1. DJ keeps playing
  2. DJ finds store manager or on-site coordinator of event.
  3. DJ lets him or her know that their event time is about to end and asks what music that have prepared for after the event.
  4. DJ allows for music to begin playing on store systems before they stop their DJ music.
  5. At no time should the store be quite.
  6. After you are done DJing, have a short conversation with the store manager and ask them for some feedback from your event.  This would be questions such as “How did you like the music?”  ”Did you have good sales during the event?”.  
  7. Create a short text message after the event recapping the main details of the day like
  • The Mall was super Busy
  • I got asked to play lots of David Guetta
  • They sold lots today
  • Manager was incredibly happy
  • the store was unusually slow
  • it rained
  • great event
  • ect

On Monday Mornings your DJPeoples Event Coordinator will call each store and get feedback from each store manager or coordinator.
