“Have them at Hello”

At DJPeoples we champion the fact that our DJs make a personal connection to each event we perform.   Our clients appreciate the fact that each DJ takes it upon themselves to make each event they perform at, their own.  By making that connection DJ are ensuring that they will be asked back by name ensuring future events from each account they service.  To ensure that all of our clients get the Warm & Fuzzies from their DJ experience we wanted to recap some best practices that will “have them at hello”..

Although the “DJ experience” starts at the event, the parts that come before that are actually the most important.  Successful retail events are the culmination of proper planning, expectations and preparedness. This means that although we’ve done the hard work, securing the event, it’s now your part to make the event yours in ever way possible.  This means taking ownership of the event, its details and the proper coordination necessary to make the event happen flawlessly and within the client’s expectations.

Making The Call

Once you have received your Event Schedule from DJPeoples it’s important to first read over the details a few times.  Your event manager makes it a point to go over the most important details for an event with clients prior to the booking process and involving the DJ.  Your job starts with the reading of that schedule and the confirmation of arrival time, necessary equipment, dress code and  most important, music styles.  If there are any questions about the event these should be discussed immediately with your event coordinator to get clarifications of any questions.

 Once the initial details of an event have been established its time to meet the client and begin making the event your own.  This usually starts with either a call or a visit to your scheduled store. As retail managers schedules change from day to day its important that you call and establish that initial communication well before your event day.  Your event manager will specify when and who to contact but usually this will be the store manager.  On your initial call, make the right first impression.  This means letting your personality shine through and getting the client excited about your upcoming arrival. In some cases manager may be new to the whole DJ thing so its important that you go through everything with them from start to finish.  Below, we’ve outlined topics that an initial call should cover.

Introduction Call to Client

  1. Introduction-Who you are and what company you work for
  2. Who-Ask for the Store Manager that is responsible for the event
  3. Hello!-Let them know that your excited to be playing in their store and you’d like to go over details to make sure the event is awesome!
  4. Event Time- Go over your arrival time for set-up (Usually 1.5 hours prior to start)
  5. Load-in – Review the rules of the mall in regards to loading in your DJ equipment into the store. Be sure to discuss what entrance of the mall the store is located near and what the best entry point is.
  6. Set-up Location- Ask if an area has been designated for the DJ  This area should be located close to power.  In some cases its necessary for the DJ to be set-up close to store connections that plug you directly into store sound systems.
  7. Store Connections-  In some cases stores have already been set-up to have you play over there store systems.  Ask if there is such a system in place and if you will be required to bring any special cabling.  Your DJPeoples event manager will help give you insight on these types of connections within these stores and what is necessary.
  8. Dress Code- Looking the part is just as important as what you play. Discuss the stores fashion style and what you are planning to wear.   Store managers and staff love dressing DJs.  If you have a question as “what to wear”, the manger will help give you insight on the brand and their fashion style. You can always schedule to shop the store days before the event and they will help fit you with a great outfit for the event. Its always important whatever the style that you look impeccable as you are representing their brand during an event.
  9. Music-Let them know that you have tons of the best music for the event.  Ask them what some of there favorite styles and artists are so that you can be prepped if they ask for the latest Katy Perry track..
  10. Recap-Briefly review everything you’ve discussed and go through any last questions.
  11. #Excited- Thank the manager for their time and let them know how excited DJPeoples is to be a part of the Event!
